A robust email spam management system is exactly what your inbox is looking for.
In our last article of the series, we look at one final technology pairing that can have a positive effect on end user performance. Returning to the concept of best practices for email, Mimecast is a great integration for Microsoft Outlook.
Mimecast is an email spam management system that provides complete virus and spam filtering. It is a great tool for users looking to add an extra layer of protection for their email and to ensure that they have full control over the messages that they open in their inbox.
So how does Mimecast work with email?
Daily Digest Reports
Mimecast integrates with your email system to manage and control the amount of spam entering your inbox. Digest reports are sent multiple times a day containing a list of emails that Mimecast suspects could contain potential spam, infected email attachments or run afoul of content policies.
This gives the user direct control over the email messages that they allow into their inbox, thereby reducing the risk that they will receive and open a malicious email.
When a user receives a digest, there are three actions they can select with each message in queue:
- Release – If the user recognizes the sender of the message, this will release the email immediately into the inbox. However, future messages from this sender may still be held in queue depending on their content.
- Permit – Going forward, future messages will bypass all spam checks, no show up in the digest report or held in queue, and be delivered directly into your inbox. Of course viral messages will still be blocked.
- Block – Messages from this recipient will be blocked and will not be allowed to enter your inbox.
Having these options allows the user to effectively manage their emails to ensure that only trusted messages are sent through to the inbox.
In addition to being an email spam management system, Mimecast also provides email continuity. Email continuity is the ability for a user to access, send, and receive emails should their native email system stop working, have scheduled maintenance or experience a disaster. Typically, this is an Exchange server.
If your email system goes down, Mimecast is not affected. Users are able to access their email through Mimecast’s portal and continue to work while their email system is getting fixed. Mobile devices also continue to work during this time.
Upon recovery, Mimecast will automatically synchronize with the email system, updating a user’s inbox will all of the messages they were working on during the downtime.
This way, nothing is ever lost and continuity of a user’s inbox remains intact.
